Management of ICU Documents

Document Management for ICU Documents

The ICU has a number of important documents, including our constitution and code of conduct. Until now any changes to these documents, authorised by an AGM or the executive committee, had to be programmed in to the system. Due to the nature of the code, the changes were difficult to make, and updates were often delayed months before being made. A possible alternative could have been to have articles marked as specific ICU documents. However, this would allow anyone with access to the system the ability to change the text without it being noticed.

The new Document management system allows the secretary, chairperson and webmaster to edit a document, but every change is saved, and visible to the members. If you view the constitution, and scroll to the bottom of the page, you will see that there are 7 versions of this document. The text of these versions all came from the versions of the code kept in our github repository. I deliberately did not try to make the time and date of each version coincide with the dates when the code was changed.

In the near future, the eligibility requirements for adult and junior players, and the NCC rules will be added to the system. In the long term, it will be possible to see the difference between one version and the next. I would also like to allow members to create their proposed changes to these documents, that can then be presented to an AGM or EGM for discussion.
